Answer

Proof of service software records arrival, completion, checklist results and before-and-after photos for each cleaning job, then emails clients a secure summary. CrewProof attaches this evidence to the correct job automatically, reducing disputed invoices and “did you come?” calls.

The problem

“Did you actually clean it?” is hard to answer after the fact.

Without a record, a completed job is your word against a client’s memory. Disputes over skipped visits or damaged items eat time and trust.

CrewProof builds one consistent service record per job: server-recorded timestamps, checklist results, issue reports and photos — so the evidence exists the moment the work is done.

How it works

Evidence attached to the right job.

1

Clock arrival

Crews confirm arrival from their phone. The timestamp is recorded server-side, not typed later.

2

Run the checklist

The task list for that home or site is completed and saved as part of the record.

3

Capture photos

Before-and-after photos are attached to the job, not scattered across personal phones.

4

Report issues

Damage or supply gaps are logged on the spot, so the office sees them the same day.

The same workflow, on every device.

How it compares

CrewProof vs the tools you may be using.

Spreadsheets, group chats and generic field-service suites each leave a gap. CrewProof closes it in one workflow.

River Apartment Turnovers

A team doing move-out cleanings where landlords frequently disputed what was completed.

Because every turnover produced a timestamped checklist and before-and-after photos, the team could answer any dispute with evidence in seconds. The landlord relationship improved, and the office stopped spending hours reconstructing what happened.

CrewProof questions, answered

Are the timestamps reliable?
Arrival and completion times are recorded server-side when the crew confirms them in CrewProof, so they are not retyped after the fact.
Where do the photos go?
Photos are attached to the specific job record inside CrewProof and included in the client’s completion email. They are not left in a personal camera roll.
Can a client dispute a job with this record?
The record makes disputes easy to resolve: you can show exactly what was done, when, and with what evidence. It does not eliminate disagreements, but it removes “it wasn’t done” as a question.
Does proof of service require the full CrewProof suite?
Proof of service is part of every CrewProof plan. See CrewProof for scheduling, guidance and client-update features that surround it.
